Agricultural machinery dealer

ERP and CRM for an agricultural machinery dealer: machine sales, service, spare parts, invoicing and transport in one system, plus an Android app for technicians with customer signatures and offline work.

The challenge

A dealer of tractors and implements sells machines, services them and keeps a warehouse of thousands of spare parts. The work is split between the office, the warehouse, field sales reps and service technicians who are out at the customer's farm, often without signal.

The old system handled invoices, but it did not know which technician was where, what was in the van, which part was for which machine or whether the job at the customer was finished. Work cards were filled in on paper, parts were written off from memory, and the owner found out what was going on by phone. Then a second company was added: a separate legal entity with its own warehouse, sales team, service team and numbering.

What we built

We built one system for both companies. Every record carries its company, and the separation is enforced on the server. An employee sees only their own company, while the owner switches between the two or views them together. Every record is saved in a specific company, and switching company reloads the screen so that one company's numbers never appear under the other's name.

The web app and the Android app come from the same code. The phone shows different screens depending on the role: a technician sees their schedule and jobs, a sales rep sees their clients and tasks, and the owner sees approvals, sales reps, money, turnover and clients. Updates arrive inside the app, with no new version to download.

Service work goes through three clear moments. The technician taps “Arrived”, the system creates the work card and the job moves to “in progress”. Then the technician fills in engine hours, the frame number, the work done, parts from stock and the required photos. Finally the customer signs with a finger on the phone screen. The signature closes the work card, writes the parts off from the van and sends the card to invoicing. Without signal everything is kept on the phone and uploads by itself when a connection appears. If the job is not finished, the “Not done” button asks for a reason and hands the job back to the manager.

Vans work as mobile warehouses. Parts for a job are picked in the warehouse and transferred to the van that will carry them, and the system remembers which job and which customer they are for. The write-off is made from the van that holds the goods, even if the job has been reassigned to another technician. Warranty parts and the settlement with the importer go through claims: the parts, the approval, the credit note and the invoice for labour are handled step by step and tied to the work card.

Permissions depend on the role: sales rep, technician, service manager, warehouse, driver, accountant, owner. A customer with overdue debt cannot get an invoice, a sale or a service job until the owner approves it with a reason.

  • Two companies in one system, with a switcher and server-side separation
  • Web and Android app from one codebase, with separate screens for technicians, sales reps and the owner
  • Service: schedule, “Arrived”, work card, photos and customer signature on the device
  • Offline work with a queue that uploads by itself when the connection returns
  • Warehouse with bins, barcodes, per-model service recipes and vans as mobile warehouses
  • Warranty claims and settlement with the importer, with credit notes
  • CRM: clients, machines, tasks per sales rep, a map and team GPS
  • Invoices, pro formas, credit notes, partial payments and balance
  • Owner approvals for customers in debt, with a reason and an audit trail
  • Transport jobs and protocols, team chat and phone notifications
  • The company's public website, which we also built

What changed

The work card is closed at the customer rather than a week later in the office. Parts are written off at the moment of signing, and the warehouse shows where every part is: on a shelf, in a van or with the customer.

The owner sees both companies from the phone, approves with one tap and knows who did what and why. Technicians work without signal too, and the office receives a finished document instead of paper.

Modules in this project (52)

Migration from an old system or Excel

We move the data from your current software, database or spreadsheets into the new system: customers, items, stock, documents and open orders. Document numbering carries on without a gap. We reconcile the numbers before go-live, and the old system stays available for reference until the new one has shown it works correctly.

Barcode picking

The picker scans the bin, then the item, and the system marks the line as picked. The list of waiting orders can be filtered by courier and country, and the screen stops a wrong item straight away. The scanning itself fulfils the order, with nothing typed in separately.

Receiving with a scanner

Incoming goods are scanned against the purchase order, and each line shows how much was ordered and how much arrived. If an item is not on the order, the scan adds it as a new line. What arrives goes to waiting orders first, and the rest goes to stock.

Bin locations

Every shelf and position is a record with a barcode, and goods and spare parts are kept per bin. You can see what is in each bin and where every item sits. A bin-versus-stock check shows the differences before they cause trouble at picking.

Runs in: KoreanCare, Ivana Agro, KB Agro

Bin labels

Barcode labels for bin locations are printed from the bin list. Each label carries the bin code the scanner reads during picking and receiving. A new bin is ready for work as soon as its label is printed.

On hand and reserved stock

Every item has three figures: on hand, reserved and available to sell. Reservations follow open orders from every channel, and stock is written off on fulfilment. Available stock comes from one formula and reads the same everywhere.

Runs in: KoreanCare, Ivana Agro, KB Agro, Easy App, BS Omni ERP

Stock movements

Every receipt, write-off and adjustment is a line with a time, a direction and a reason. Each line links to the document or order that caused it. When stock does not add up, this is where you find out why.

Stock count

Scan the bin, scan the items one by one, enter what was actually counted, and save. Differences are shown before saving and go into the ledger with a reason. For a shop with a till, the count is also reconciled with the till's file.

Supplier purchase orders

What the orders are short of is gathered into a purchase order per supplier, with quantities you can adjust by hand. The order goes out by email or as a file, and anything already ordered is not ordered twice. On receiving, deliveries are checked against the order line by line.

Runs in: KoreanCare, Ivana Agro, KB Agro, Easy App, BS Omni ERP

Reorder forecast

From sales velocity and supplier lead time the system tells you when an item will run out. Items are ranked by urgency: out, critical, low. Selected lines become a purchase order in one step.

Runs in: KoreanCare, Ivana Agro, KB Agro

Supplier card

Each supplier has a card with contacts, price list and lead time. It is marked as a daily supplier or an external one with a longer lead time. Purchase orders and forecasts use this data without it being entered again.

Importer stock

Before ordering you can see what the importer has in stock. Sales staff know whether a part can arrive quickly without making a phone call. The customer gets an accurate answer the first time.

Parts issuing

Parts for a service job or a customer are issued against a request: picked by scanner or by hand, then "Complete and issue". Quantities are written off from the bins at that moment. Every issue is visible in the ledger.

Runs in: Ivana Agro, KB Agro

Shared restock list

Shortages from service jobs are collected into one shared draft, with quantities summed per item. Lines can also be added by hand. "Send request" sends everything at once and downloads an Excel file.

Runs in: Ivana Agro, KB Agro

Parts kits per model

Each machine model has a ready kit of spare parts for servicing. For a service job the whole kit is taken instead of searching for parts one by one. The service team knows in advance what to take.

Runs in: Ivana Agro, KB Agro

Parts deliveries for customers

Parts ordered for a specific customer are tracked from request to arrival and handover. You can see what is waiting on the supplier and what is ready for collection. Sales staff can answer the customer without checking by hand.

Service vans as mobile warehouses

Each service van is its own warehouse, with stock and movements. The technician sees "my warehouse" and knows what is on board before setting off. Mileage is recorded against the van.

Runs in: Ivana Agro, KB Agro

Warehouse analytics

Besides quantities, the warehouse shows stock value, stock that is not moving, sales velocity and upcoming shortages. A separate tab points out incomplete data: items with no price, no bin or a mixed-up unit of measure. Everything is calculated on the server and opens quickly.

Econt

The waybill to an address or an Econt office is issued straight from the order. The operator picks the town, street and office from Econt's own lists instead of typing them. The system follows the parcel status and shows it on the order.

Runs in: LedWhite, Ivana Agro, KB Agro

Invoices, notes, proformas

Invoices, credit and debit notes, proformas, CMR and transport orders are all issued from one screen. A badge in the menu shows how many orders are still waiting for an invoice. On wholesale sales the system applies 0% and the legal basis on its own: intra-community supply when the VIES number is valid, or export outside the EU. In a service business, closed work orders are invoiced from here without retyping.

Receivables

You see unpaid invoices per customer, with due dates and days overdue. A partial payment is recorded against the invoice and the remainder shows at once. The person in charge knows whom to call today.

Runs in: Ivana Agro, KB Agro

Cash desk and expenses

Cash payments, expenses and the cash on hand are recorded as they happen. The day's balance is visible without a separate calculation, and each expense shows up the same day instead of at month end.

Runs in: Ivana Agro, KB Agro

Customers on credit hold

You can put a customer on credit hold. A new sale to them then waits until a manager approves it, and the salesperson sees why it was stopped. That way nobody sells on credit to a customer with unpaid bills.

Runs in: Ivana Agro, KB Agro

Quotes and contracts as PDF

Quotes, contracts and protocols are built from a template that fills in the client's data from their record. The document comes out ready to print or send, with no copying between files. You change the template in one place and the change applies to every document after that.

Field service app

The technician sees the day's schedule, opens a job and taps "Arrived", then records labour, parts and the required photos. The customer signs with a finger on the screen, and that signature closes the work order, writes off the parts and sends the card to invoicing. Nobody in the office retypes anything from paper.

Runs in: Ivana Agro, KB Agro

Offline mode

In a field or a barn with no signal the app keeps working and keeps signed work orders on the phone until there is a connection. As soon as a signal appears, it uploads them. The profile shows how many are waiting, and an "Upload now" button sends them straight away. The same card cannot be written off twice.

Runs in: Ivana Agro, KB Agro

Updates without the app stores

We upload the new version of the screens to our server and phones download it the next time they open the app, with no new build in Google Play or the App Store. If a change needs new native code, the app says a full update is required. That way a fix reaches people in the field the same day.

Team GPS

Company phones report their position during working hours only. The manager sees the team live on the map, the day's routes and when each phone last checked in. When a technician completes a job at a new customer, the system saves the customer's coordinates automatically.

Runs in: Ivana Agro, KB Agro

Camera barcode scanner

The phone camera reads barcodes and QR codes with no separate scanner. The technician scans the part being fitted and it goes onto the work order as the correct stock item.

Runs in: Ivana Agro, KB Agro

Push notifications

A new job, an approval, a reassignment or an overdue task arrives as a notification on the right person's phone. Tapping it opens the relevant screen directly. One event sends one notification, even if the server restarts.

Runs in: Ivana Agro, KB Agro, Shishko

Daily dashboard

This is the first screen in the morning: today's orders, overdue tasks and the things waiting for a decision. The manager sees where to start without going through the menu. The dashboard is shown only to people allowed to see it.

Runs in: KoreanCare, Ivana Agro, KB Agro, Easy App, BS Omni ERP

Customer file

Everything about a customer is in one place: contacts, orders, tasks and conversations. Wholesale customers also have their own price list, payment terms and an account manager. Search works by name, company ID, city and phone, and the system stops a second record with the same company ID at entry. A sales rep sees their own customers, and the manager sees all of them.

Runs in: KoreanCare, Ivana Agro, KB Agro, Easy App, BS Omni ERP, MyCRM

Sales rep tasks

Calls, meetings, quotes and visits are kept as tasks tied to a customer and a due date. When a deal moves to the next stage, the system creates the next task by rules the manager sets. Overdue tasks show in red and urgent ones have their own list.

Runs in: Ivana Agro, KB Agro

Sales pipeline

Each customer moves through clear stages: contact, meeting, quote, negotiation, contract, invoice, machine. The customer file shows how far they have got and what exists at each stage. Reports show which deals are stuck and what is expected to close.

Runs in: Ivana Agro, KB Agro

Quotes

A quote is built from the model catalog and prices and goes out to the customer as a PDF. It is attached to the deal, so the "Quote" stage is marked automatically. You do not enter the customer and machine again for the later stages.

Runs in: Ivana Agro, KB Agro

Manufacturer orders

A sold machine that is not in stock is ordered from the manufacturer in the same system. The order has a status and shows which customer and deal it belongs to. The sales rep knows what to tell the customer without calling purchasing.

Runs in: Ivana Agro, KB Agro

Model catalogue

Machine brands and models with their specifications and brochures to send to customers. The model for a quote or for the machine registry is picked from here. The catalogue is kept in one place, so every sales rep works from the same data.

Runs in: Ivana Agro, KB Agro

Customer machine registry

Every machine sold or serviced has its own record: serial number, engine, year, owner. Work orders, warranty cases and replaced parts build up against it. When the customer calls, the machine's history is on one screen.

Runs in: Ivana Agro, KB Agro

Service schedule

Service jobs are planned by technician and by day, and the system does not let two jobs collide in the same slot. Unapproved jobs stand out until the manager approves them. The technician gets the change on their phone.

Runs in: Ivana Agro, KB Agro

Warranty claims

A warranty repair is flagged when the job is created, and on the work order each part can be marked as out of warranty. The case goes to the importer and its status is tracked until it is approved or rejected. It is clear what the importer will cover and what the customer pays.

Runs in: Ivana Agro, KB Agro

Service bulletins

Manufacturer service bulletins are tracked as their own case type with the importer, tied to the specific machine. The status shows whether it is open, awaiting an answer or resolved. The machine's history shows which bulletins have been carried out.

Runs in: Ivana Agro, KB Agro

Technician workload

A per-technician report for a chosen period: how many jobs they had, how many they completed and how many are still open. The figures match the manager's mobile app because they come from the same source. It shows who is overloaded and who has capacity.

Runs in: Ivana Agro, KB Agro

Customer map

Customers appear on the map at their farm location, filtered by sales rep and region. Each point opens the customer file or turn-by-turn navigation. Sales reps plan their visits on the map.

Runs in: Ivana Agro, KB Agro

Transport

Moving machines and parts is handled as jobs with a vehicle, a driver and a date. Each driver has their own schedule and a handover protocol is printed on delivery. Transport is no longer arranged by phone and does not get lost between departments.

Runs in: Ivana Agro, KB Agro

Team chat

An internal chat for the whole team inside the system, with history, photos and attachments. New messages reach colleagues as notifications, including on their phones. Work conversations do not scatter across personal apps.

Runs in: Ivana Agro, KB Agro, Easy App, BS Omni ERP

Calendar

Team meetings, tasks and events sit in one shared calendar. Everyone sees what is coming up today and this week, and meetings do not stay hidden in someone's personal phone.

Runs in: KoreanCare, Ivana Agro, KB Agro

Roles and permissions

Each user has a role (owner, sales rep, service, technician, driver, accountant) and sees only their own screens and data. An administrator can "log in as" another user to see exactly their screen, then switch back. A new employee gets an account and permissions from one screen.

Runs in: Ivana Agro, KB Agro, Easy App, BS Omni ERP

Multiple companies

Two or more companies run in one system, and you switch between them with a single choice. Each has its own couriers, VAT rates, mailboxes and per-channel rules.

Runs in: Ivana Agro, KB Agro, Easy App, BS Omni ERP

Built-in manual

The user manual lives inside the system and describes the screens as they are. Every user can read it, with no special permission. New staff learn from it instead of asking colleagues about every button.

Runs in: Ivana Agro, KB Agro, Easy App, BS Omni ERP

Feature requests

The team records what gets in the way or what is missing directly in the system rather than over the phone. Each request has a status, so it is clear what has been accepted, what is in progress and what is done. Development works from one list instead of memories of conversations.

Runs in: Ivana Agro, KB Agro, Easy App, BS Omni ERP

Training

Team courses inside the system, with a test at the end. The correct answers never reach the browser, so the score appears only after submitting. Every attempt is stored with its score and pass or fail.

Runs in: KoreanCare, Ivana Agro, KB Agro

Daily sales rep digest

Every afternoon the system compiles a summary per sales rep: meetings, tasks by type, quotes sent and contracts signed. The digest is kept by date, and the manager can open it for any day or regenerate it with a button. It shows who did what without asking each person.
